How to Fulfill Shopify Orders Faster: A Checklist

Last updated

You fulfill Shopify orders faster by working from the Unfulfilled view, clearing holds before you start, and moving orders in groups. Shopify's bulk actions mark many orders fulfilled at once, and batches give you one pick list, labels, and packing slips for up to 250 fulfillments. A short daily checklist keeps it repeatable.

Speed in fulfillment is rarely about packing faster. It is about fewer clicks per order, fewer trips to the shelf, and fewer orders you open, stare at, and skip.

How do you fulfill Shopify orders faster?

You fulfill Shopify orders faster by working from one filtered list, clearing holds first, and processing orders in groups instead of one at a time. Shopify lets you fulfill orders individually, in bulk, or in batches that pick, pack, and print documents across many orders at once. A fixed daily routine does the rest.

Shopify's Fulfilling orders help describes three ways to ship your own orders: individually, in bulk, and in batches. Most small stores lose time in the first one, opening each order, printing, packing, and clicking through the same screens again.

The faster setup has three habits:

  • One list: work only from the Unfulfilled tab on the Orders page, not from email notifications or memory.
  • Holds first: resolve anything blocked before you print, so a batch does not stall halfway.
  • Groups, not singles: use bulk actions when you only need to change status, and batches when you need pick lists, labels, and documents.

How do you find the orders that need fulfilling on Shopify?

You find orders that need fulfilling on Shopify by going to Orders and opening the Unfulfilled tab. New orders start with the Unfulfilled status. Check for orders On hold, which you can't fulfill until the hold is released, and for Scheduled prepaid subscription orders, which wait until their fulfillment date.

Shopify Help on order status lists the fulfillment statuses you will see:

  • Unfulfilled: every new order starts here.
  • On hold: you can't fulfill the order until the hold is released, then it returns to Unfulfilled.
  • Scheduled: prepaid subscription orders wait here until the fulfillment date.
  • Partially fulfilled: some items shipped, some did not.
  • Fulfilled: all items fulfilled and shipped.

Orders that are canceled, fully refunded before fulfillment, or edited to remove all remaining items show Fulfillment not required. The Unfulfilled view leaves them out, so that tab is a clean to-do list.

Before you print anything, scan the list for orders on hold. Shopify's bulk help names reasons you might hold an order, such as a high risk of fraud or stock that isn't available. Decide on each one first. A hold you ignore is an order that sits for days while the rest ship.

Sort oldest first, so nothing ages out while new orders jump the queue.

How do you fulfill Shopify orders in bulk?

You fulfill Shopify orders in bulk from Orders: click the Unfulfilled tab, select the orders, click Mark as, then Fulfilled, and choose whether to send the shipping confirmation. Bulk actions skip orders on hold, scheduled orders, and orders a fulfillment service handles. Use Request fulfillment for those service orders.

Steps from Shopify Help on fulfilling your own orders in bulk:

  1. From your Shopify admin, go to Orders.
  2. Optional: click the Unfulfilled tab to filter orders that need to be fulfilled.
  3. Select the orders that you want to mark as fulfilled.
  4. Click Mark as, and then click Fulfilled.
  5. Optional: select Send a notification to the customer to send a shipping confirmation.
  6. Click Mark as fulfilled.

You can add tracking numbers afterward. The same Mark as menu also sets orders to In progress, which is useful while you pick and pack, and to On hold.

Know what bulk actions skip. Orders on hold can't change status until you release the hold. Scheduled orders can't be fulfilled early in bulk. To ship one sooner, change the fulfillment date on the order's details page. If you select more than 250 orders, some features might not be available. Orders assigned to a third-party fulfillment service are skipped by Mark as fulfilled, because the service controls the status. Send those with the Request fulfillment bulk action instead.

Bulk Mark as fulfilled only changes status. It does not buy labels or print packing slips. For that, use a batch.

How do you use batch fulfillment on Shopify?

You use batch fulfillment on Shopify by grouping up to 250 fulfillments into a batch from the Orders page. The default workflow is Pick (a pick list), Print (buy shipping labels, packing slips, labels, customs forms), and Pack (Scan to verify). Batch recent orders in bulk, or select orders and click Create batch.

Shopify Help on fulfilling your orders in batches calls batches a way to speed up fulfillment. Batches need an active location you manage in a country where you can buy shipping labels in the Shopify admin.

To create one:

  1. From your Shopify admin, go to Orders.
  2. Turn on Group by batch from the Orders page view options, then click Batch recent orders. This batches unfulfilled orders from the last 14 days, up to the 250 most recent.
  3. Or select specific orders and click Create batch.

Then work the steps:

  • Pick: create a pick list. It lists every product across the batch with variant, image, quantity, SKU, and bin name, so you walk the shelves once.
  • Print: buy shipping labels for the whole batch and create packing slips, labels, and customs forms where needed.
  • Pack: Scan to verify checks each item with a compatible barcode scanner. A wrong item or an extra scan plays an error tone.

You can add, remove, or reorder steps, and assign a staff member to each step. Click Close batch at the end to complete fulfillment and archive the orders. You can customize the pick list and packing slip at Settings > Shipping and delivery > Templates.

Should you automatically fulfill Shopify orders?

You should automatically fulfill Shopify orders only if you exclusively sell digital downloads or gift cards, or you use fulfillment services for all of your products. That is Shopify's own recommendation. Automatic fulfillment marks an order fulfilled after it has been paid, so for stock you pack yourself, manual fulfillment keeps a human check on holds, addresses, and stock.

Shopify's order processing help gives the path: go to Settings > General, then in the Order processing section select Automatically fulfill the order's line items. Orders are then marked fulfilled after they have been paid. That removes a step, and it also removes the moment where someone looks at the order.

Shopify recommends automatic fulfillment only when you exclusively sell digital downloads or gift cards, or you use fulfillment services for all of your products. If you package and ship products yourself, Shopify says not to turn it on, because every new order is marked fulfilled and you can no longer sort out the ones that still need to ship. For boxes on a shelf, the manual step is where you catch a hold, a bad address, or a variant you no longer have.

Shopify's bulk help also notes that marking an order fulfilled can send the customer a shipping confirmation. That email should match reality. If the box has not left, the customer is now waiting on a package that does not exist yet.

Can you check unfulfilled Shopify orders by text?

You can ask about unfulfilled Shopify orders by text by asking Mark, the coordinator you text on Shoperator, what's waiting to ship. Mark routes the question to Marcus, who reads connected store data, including orders and fulfillment, and replies in the thread. It is a readout. Mark does not fulfill orders, ship packages, or buy labels.

How to Run a Shopify Store by Text says Marcus reads connected store data, including sales, orders, inventory, and fulfillment, and answers in the same thread. What Can I Text Mark? lists asking what's happening in your store and setting reminders.

That makes text a quick look before you open the admin, not a way to ship. Example texts:

  • "How many orders are still unfulfilled?"
  • "Which unfulfilled orders are oldest?"
  • "Any orders on hold right now?"
  • "Remind me at 2 to finish today's shipping."

The reply tells you how big today's run is, so you can decide between a quick bulk update and a full batch. The fulfillment itself stays in your Shopify admin or with your fulfillment service. Mark does not mark orders fulfilled, buy shipping labels, or add tracking. For changes Mark does support, such as a product price, he shows a preview first. Mark applies the change after your yes. Shoperator does not send email or SMS to your shoppers.

What is a daily fulfillment checklist for a small store?

A daily fulfillment checklist for a small store is a fixed order of steps you run at the same time each day: check holds, open the Unfulfilled tab oldest first, batch the orders, pick once, print labels and slips, pack and verify, then close the batch. Repeating the same order is what makes it fast.

The checklist:

  1. Pick a cutoff time. Orders before it ship today. Write it down.
  2. Go to Orders and open the Unfulfilled tab, oldest first.
  3. Resolve holds. Release, cancel, or contact the customer for each order on hold.
  4. Check stock on anything thin. If a variant is out, hold the order and decide before you print. How to Set Up Shopify Low Stock Alerts helps you see it coming.
  5. Send fulfillment service orders with Request fulfillment.
  6. Batch the rest: turn on Group by batch from the Orders page view options, then Batch recent orders or Create batch.
  7. Pick from the pick list in one pass.
  8. Buy labels and print packing slips in the Print step.
  9. Pack and Scan to verify if you have barcodes.
  10. Close the batch, then add any tracking numbers that did not come from Shopify labels.
  11. Do a last look at the Unfulfilled tab. Anything left should have a reason.

Run it once a day for a small store. Add a second, smaller run before your carrier pickup if volume grows.
